Overview
A well-established architecture and design firm is seeking a Proposal Specialist / Senior Marketing Coordinator to join its Marketing and Business Development team. This role plays a critical part in winning new work by leading the development of high-quality proposals, presentations, and marketing materials in a fast-paced, collaborative environment.
This is a hands-on writing and production role, ideal for a detail-oriented marketing professional with experience in the AEC industry who thrives under deadlines and enjoys telling compelling project stories.
Key Responsibilities
- Lead the production of competitive proposals, qualifications packages, and interview materials from kickoff through submission
- Perform hands-on proposal writing (not just review or coordination)
- Develop clear, compelling narratives that communicate design thinking, technical expertise, and firm values
- Collaborate closely with architects, designers, graphic designers, and subject matter experts
- Create presentations, slide decks, and marketing collateral for interviews and client meetings
- Coordinate internal teams, schedules, and deliverables to meet tight deadlines
- Maintain and organize marketing assets such as resumes, project sheets, and case studies
- Ensure brand consistency across all proposal and marketing materials
- Support research efforts related to clients, markets, and competitors
- Contribute to awards submissions, communications, and other marketing initiatives as needed
Required Experience & Qualifications
- AEC industry experience is required
- Architecture or design experience strongly preferred
- Engineering or construction backgrounds also considered
- 3-5+ years of experience in proposal writing or marketing within the AEC industry
- Exceptional written communication skills with strong attention to detail
- Ability to manage multiple priorities and deadlines in a fast-paced environment
- Bachelor's degree in marketing, communications, English, graphic design, or a related field
Technical Skills
- Advanced proficiency in Adobe InDesign (multi-page proposal production required)
- Strong working knowledge of Adobe Acrobat and Microsoft PowerPoint
- Experience with Illustrator and Photoshop preferred
- Proficiency with Microsoft Office
- Familiarity with CRM and asset management tools (e.g., proposal databases) a plus
Work Environment & Location
- Hybrid schedule: In office 3 days per week
- Client site visits count as in-office days
- Flexible arrangements considered based on individual circumstances
- Primary marketing team is based in Baltimore
- Washington, DC-based candidates are also welcome (salary flexibility may apply)
